Expenses
Find out about claiming expenses
If and how you can claim expenses depends on how you are engaged by the BBC:
- Staff and On Air Talent (OAT) contract
- Self-employed contributors
- Equity contributors
- Contributors on worker contracts
Staff and OAT contributors
If you are engaged as staff or on an OAT (On Air Talent) contract, you should continue to submit your expenses via Concur - the BBC’s online system on Gateway.
Self-employed contributors
The BBC does not pay expenses to self-employed contributors. The fee paid covers all expenses incurred.
Equity contributors
Expenses are covered by the Equity Agreements.
If you are engaged on an Equity Agreement, speak to your Production contact before claiming any expenses.
The BBC decides whether an allowance is paid or whether travel, accommodation and meals will be provided.
Contributors on worker contracts
If you are engaged by the BBC on a worker contract, then you can claim reasonable and necessary expenses incurred in performance of your BBC duties, such as:
- travel
- driving
- accommodation
- meals
Before you make a claim, take a moment to check that what you are claiming for is valid under the BBC Expenses Policy.
Some of the categories of expenses that you may have previously claimed as a tax deduction in your accounts may differ under the BBC Expense Policy.
How to claim expenses (worker contracts)
To claim your expenses:
- read the guide to completing and submitting your expense form (pdf), and
- complete and submit the Manual Claim Form (xls) - make sure you complete all mandatory fields.
Return the completed form and your receipts to the Expenses Approver for review (you can return it in person or by email).
The Expenses Approver will then pass the claim on for processing (they will receive confirmation and a reference number for the claim).
Note, the Expenses Approver must reject any claim that is not within the BBC Expenses Policy. They do not have authority to approve expenses not covered by the policy.
Payment
Once approved, expenses will be paid within 10 working days.
Expenses will be paid into the bank account we paid your fee into. Ensure you notify the Expenses Approver of any changes to your payment details before submitting your claim.
