Information systems like databases are used to store and present information, making it easier to visually interpret and understand, faster to search, update and check for errors.
One of the major advantages of storing information in electronic databases is that it is really easy to add new information, sort the information into whichever order you like, and search through millions of records to find one specific match.
A search tries to find matches for whatever you search for. The number of matches depends on what data is stored and what you are searching for. For example, searching for "Forename: John" could return many results, whereas searching for “ID Badge Number: 345245” will most likely return one result. Searching for "Forename: XchgyHtnf264647" will most likely return zero results.
A sort orders the data on a field which you choose.
Ascending order starts with the smallest first and works its way up to the largest. This works even with dates - 04/04/1940 is counted as smaller than 29/01/2015. If you get stuck use the year and work backwards.
Descending order starts with the largest first and works its way down to the smallest.
