Young Chorister of the Year 2019 Privacy Notice

Thank you for applying to take part in the BBC Radio 2 “Young Chorister of the Year 2019” competition.

It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal information about you during and after your relationship with us, in accordance with data protection law.

What personal data we will collect and how we will use it?

You have provided us with information (“personal data”) about yourself. This data is your name, date of birth, gender, address, voice recordings, and school address. If you are under 13 years of age you must provide us with your parent/guardian’s name, email address and phone number. The BBC will contact your parent or guardian to verify you have their permission to provide us with your personal data.

The BBC will also collect and process certain special categories of more sensitive personal information that you provide. This information is your place of worship. We will only ask you to provide such information where we have a lawful basis to do so. If you choose to provide such information, please carefully consider if you wish to disclose such information.

You have also provided us with personal data about your school teacher and your choir leader/organist/minister. This data include their names, signatures, email address and phone numbers. Your personal data and that of school teacher/choir leader/organist/minister will be processed for the purpose of administering the competition, verifying our rules of entry and for applying for performance licences.

The BBC is the “data controller” of this information. This means that the BBC decides what your personal data is used for, and the ways in which it is processed.

What is our lawful basis for tomorrow?

The legal basis on which the BBC processes your personal data is in our legitimate interest of ensuring we can run a competition of this nature and producing creative output. We have carefully considered the impact on you and will not use your personal information where the impact overrides our interests.

The legal basis on which the BBC processes special categories of information you have provided is on the basis of substantial public interest in the BBC producing content.

How long we will retain your data for?

If you are unsuccessful, the BBC will retain your personal data and/or your parent/guardian’s until 31 October 2019. However, if you are successful, the BBC will retain your personal data and/or your parent/guardian’s for two years. This is because winners take part in various recordings in the year following the competition and the BBC will need to contact you for these purposes. After the expiration of the relevant period, your data will be destroyed in line with the BBC’s Data Retention and Minimisation Policy

If you are successful we will retain the personal data of your school teacher, choir leader/organist/minister until for two years.

If you are unsuccessful we will retain the personal data of your school teacher, choir leader/organist/minister until 31 October 2019.

Broadcasted material will be retained indefinitely as it will become part of the BBC’s archives.

Who we will share your personal information with?

The personal data you provide will be stored by a third party company, Monterosa, which provides the web based platform to collect the entries. The BBC will not share your data with any other third parties unless required by the law.

If you complete the postal nomination form, the BBC will store your data securely.

If you are selected as a finalist, the BBC will contact you and your parent/guardian at this time to ensure that necessary arrangements are made prior to broadcasting your work and taking your photograph.
